As an Accounts Payable Specialist, you will serve as a trusted expert supporting critical financial and administrative operations while building strong, collaborative relationships with our valued customers. We value safety, efficiency, and accountability, and you’ll have the autonomy to work independently while playing a key role in advancing our team’s performance and overall mission. This position encompasses accounts payable, project accounting, subcontract administration, compliance tracking, and front‑office support. Experience with Sage Intacct, ServiceTitan, and BlueBeam Revu is strongly .

RESPONSIBILITIES:
Accounting & Systems
- Manage and enter all Accounts Payable invoices.
- Maintain accurate financial records in Sage Intacct.
- Post job costs, labor, materials, and service data from Service Titan.
- Assist with reconciliations, job cost entry, and month‑end tasks.
Vendor & Subcontractor Management
- Set up new vendors; request and track W‑9s and insurance certificates.
- Maintain subcontractor database and compliance documents.
- Track subcontractor insurance expiration dates.
Project & Contract Support
- Ensure cross-training continuity and create formalized Standard Operating Procedures (SOP’s) documenting all role-specific processes and procedures.
- Support the Staff Accountant and Project Coordinators by assisting with tasks and initiatives as needed.
Document Control & Filing
- Maintain A/P files, W‑9/insurance/pre‑lien binders, and other accounting records.
- Archive prior‑year documents annually.
- Support digital and physical document organization using BlueBeam Revu.
Administrative Support
- Back-up for multi‑line front‑desk phone system.
- Compile Foremen’s binders and submittals.
- Prepare bid documents and PDFs in BlueBeam Revu.
- Perform errands such as bank deposits and pickups.
- Provide general administrative support to Project Managers and leadership.
Qualifications
- 3-4+ years of accounting experience in construction/HVAC/plumbing/trades.
- Proficiency with Sage Intacct, Service Titan, and BlueBeam Revu.
- Strong AP, job costing, and document management skills.
- Excellent organization, accuracy, communication, and multitasking abilities.
- Solid Excel and cloud‑based systems proficiency.
- Detail‑oriented, dependable, and highly organized.
- Strong communication and customer service skills.
- Ability to manage multiple priorities in a fast‑paced environment.
- Team‑focused with strong follow‑through.

Work Environment
- This is an onsite position only.
- No remote or hybrid work options are available.
- Work is performed in an office setting with frequent interaction with project managers, field personnel, vendors, and visitors.
- Must be able to handle periods of high activity, multitask, and maintain accuracy in a busy environment.
