Administration Assistant

We are seeking an Administration Assistant to join our team!

This is a part time position - specifically Tuesdays and Thursdays. You will perform various administrative tasks as outlined below:

Accounting Duties

  • Financial Record Keeping: Record financial transactions

  • Invoicing & Payment Processing: Prepare and send invoices, receive and verify payments, and reconcile customer/vendor accounts

  • Collections: Schedule and send follow ups on unpaid invoices. Email and or call the customers to collect payment.

  • Accounts Payable/Receivable: Process incoming and outgoing payments and manage related documentation

  • Data Entry: Enter financial data into accounting software and databases with accuracy

  • Financial Reporting: Compile and present financial reports to management as needed

  • Vendor & Client Communication: Respond to basic accounting inquiries and payment discrepancies

  • Clerical & Administrative Duties Mail & Office Duties: Sort and distribute mail; occasionally run errands to the bank or post office

  • Greeting & Communication: Answer phones, direct calls, greet visitors, and communicate with vendors

  • Filing & Records Management: Maintain organized filing systems and physical/digital documentation

  • Data Entry: Enter administrative and project data into spreadsheets or internal systems

  • Onboarding Assistance: Help prepare materials for new hires and assist with documentation collection

  • Team Duties: Schedule and organize meetings, appointments, and events for the team

Project Duties

  • Maintain and update project schedules and track project milestones.

  • Prepare and distribute project status reports and other documentation as needed

  • Coordinate with vendors and subcontractors to ensure timely delivery of materials and services.

  • Review and process invoices and expense reports for accuracy and compliance with company policies

  • Regulatory: Keep licenses up to date with each city and region, pull permits, and schedule inspections.

Additional Responsibilities

  • Problem Solving: Research and resolve discrepancies in financial or project records

  • Compliance: Ensure adherence to accounting principles and internal policies

  • Departmental Support: Provide general assistance to accounting and administrative staff

Qualifications

  • Back to jobs 1+ years of experience in office administration, accounting, or clerical support (, not required)

  • Familiarity with Microsoft Office, QuickBooks, and Adobe

  • Strong attention to detail and organizational skills

  • Excellent verbal and written communication
