Within our Infrastructure Division, we deliver large-scale Civil, Municipal, Concrete, and Environmental & Water projects that strengthen communities and drive regional growth. We are seeking a detail-oriented Administrative Assistant to provide direct support to our Safety Manager and safety team on the Meta Data Center Project.

Position Summary

The Administrative Assistant – Safety will play a key role in supporting the Safety Manager and the civil project team on the Meta Data Center project by managing documentation, coordinating training records, assisting with reporting, and ensuring all safety-related administrative functions are completed accurately and on time.

This position is ideal for a highly organized, proactive, and detail-focused administrative professional who can thrive in a fast-paced construction environment and support the safety team with efficiency and professionalism.

Key ResponsibilitiesSafety Administration & Documentation

  • Assist the Safety Manager with daily safety documentation, including inspections, audits, JSAs, incident logs, and corrective action tracking.

  • Maintain well-organized digital and physical safety files in accordance with Meta and LEMOINE requirements.

  • Enter inspection data, safety observations, training logs, and metrics into project-specific safety software platforms.

Training & Onboarding Coordination

  • Support new hire and subcontractor onboarding by preparing safety materials and verifying completion of required forms.

  • Maintain up-to-date training records for all project personnel, including OSHA certifications, equipment training, and toolbox talk participation.

  • Schedule safety trainings, CPR/First Aid sessions, and project-specific compliance meetings.

Reporting & Communication

  • Assist in preparing weekly and monthly safety reports for internal leadership and Meta's EHS team.

  • Compile data for leading/lagging indicator reports, close-out logs, and KPI dashboards.

  • Provide meeting support including drafting agendas, taking notes, and distributing follow-up action items.

Field & Project Support

  • Help coordinate delivery and inventory tracking of safety supplies, PPE, signage, and field equipment.

  • Support field crew check-ins, badge renewals, and project access requirements.

  • Provide administrative support to the civil project team as needed (filing, scanning, scheduling, documentation).

General Office Support

  • Manage calendars, schedule meetings, and support travel or training arrangements for the safety team.

  • Provide front-line communication support-answering calls, assisting visitors, and relaying messages professionally.

  • Assist with special projects, audits, and safety initiatives as directed by the Safety Manager.

Required Qualifications

  • High school diploma or GED required; associate degree or administrative certification .

  • 1–3 years of administrative experience, preferably in construction, industrial, or safety-related environments.

  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to learn safety software platforms.

  • Experience with documentation, tracking logs, spreadsheets, and data entry.

  • Strong organizational skills with high attention to detail and accuracy.

  • Excellent written and verbal communication skills.

  • Ability to work in a fast-paced environment and manage multiple deadlines.

  • Professional demeanor and ability to work well with craft workers, subcontractors, and project leadership.

Physical Requirements

  • Must be able to move between jobsite office and field areas as needed.

  • Ability to lift up to 20 pounds (PPE boxes, binders, supplies).

  • Must be comfortable working in a construction environment with exposure to outdoor elements.
