Dispatch Supervisor

Job Summary

This role oversees the daily activities and functions of the department, including supervising staff responsible for service call taking, dispatching, data entry, and customer service. Responsibilities include training, mentoring, scheduling, process improvement, and ensuring overall success of department operations.

Supervises: Department staff

Essential Functions

  • Manage daily activities of dispatching, service calls, data entry, and customer service.
  • Schedule maintenance visits across the organization.
  • Maintain relationships with customers and internal teams (sales, field, admin, management).
  • Update and maintain processes, procedures, and documentation.
  • Provide ongoing training, mentoring, and efficiency improvements.
  • Act as liaison between Sales, Field, Finance, and Business Operations.
  • Handle customer inquiries on schedules, lead times, services, invoicing, and general questions.
  • Resolve scheduling obstacles with customers/sales.
  • Respond to field requests (phone/online).
  • Follow up and schedule preventative maintenance.
  • Review completed work orders for accuracy.
  • Perform other duties as assigned.

Education & Experience

  • 100% accuracy in all transactions and communications.
  • 5+ years billing/data entry with systems like Great Plains or similar.
  • 2–3 years supervisory experience.
  • Strong analytical/problem-solving skills.
  • Proficiency in Microsoft Excel and Word.
  • Excellent communication skills (written and verbal).
  • Self-starter with strong work ethic, organization, and multitasking ability.
  • Industry experience .

Physical Requirements

  • Lift/move up to 10 lbs regularly, 20 lbs occasionally.
  • Requires close/distance vision and phone hearing ability.
  • Regular sitting, standing, walking, reaching, talking, and use of hands.
  • Routine attendance required.
  • Schedule: Mon–Fri, 7:00–4:00 or 8:00–5:00 with 1-hour lunch. Occasional overtime possible.
  • Travel: Not required.

Compensation

  • $33.00–$43.00 hourly (based on skills, experience, certifications, and location).
  • Pay is part of total compensation package.
