Executive Administrator to CEO & CHRO (Strategic EA / Site Executive Administrator)

Full-time | Dallas, TX (On-site / Hybrid)

Reports to: Chief Executive Officer (CEO) and also supports Chief Human Resources Officer (CHRO)

Role Summary

We are seeking an exceptional Executive Administrator (EA) to support the CEO, CHRO, and other executive leaders as we build and scale a global data center platform. This is not a traditional administrative role. This EA will operate as the right hand to the CEO and CHRO, acting as a strategic partner, problem-solver, and force-multiplier for the leadership team.

The EA will also serve as the Executive Site Administrator in the Dallas headquarters, helping create a professional, high-performing, and well-run office environment.

This role requires judgment, confidentiality, strong communication skills, high EQ, and the ability to anticipate needs before they arise.

Key Responsibilities 1. Executive Support & Leadership Enablement

  • Partner closely with the CEO and CHRO to manage priorities, workflows, meetings, travel, and internal/external commitments.
  • Proactively organize executive days around the highest-value work; keep leaders focused on strategic priorities.
  • Draft communications, talking points, board materials, and internal updates as needed.
  • Prepare leaders for meetings: agendas, briefings, pre-reads, follow-up actions.
  • Serve as a primary point of contact between executives and internal teams.

Strategic Coordination & Project Support

  • Support cross-functional initiatives, ensuring follow-ups are captured, tracked, and completed.

Manage executive-level dashboards, trackers, and key milestones across people, operations, commercialization, and office planning.

  • Help structure executive offsites, leadership meetings, and quarterly AEMs.
  • Coordinate with HR on confidential matters including hiring, onboarding, performance, and culture initiatives.

Executive Communications & Relationship Management

  • Interact professionally with Board members, investors, hyperscaler customers, partners, advisors, and external stakeholders.
  • Draft high-quality emails, summaries, recaps, and leadership messaging.
  • Maintain professional, timely communication across all channels on behalf of the CEO & CHRO.

Site Leadership – Dallas Headquarters

  • Act as the Executive Site Administrator for the Dallas office.
  • Ensure the office runs smoothly day-to-day: space readiness, visitors, events, leadership presence, and general operations.
  • Partner with Facilities/IT to ensure the site is set up for growth and employee experience.
  • Support coordination of C-Suite presence and in-office cadence.

High-Judgment Support on Confidential Topics

  • Handle sensitive business information, people topics, and executive matters with absolute discretion.
  • Maintain confidentiality related to strategic projects, employee relations, executive searches, and investor discussions.
  • Serve as a trusted “barometer” for workflow, emerging issues, and internal dynamics.

Administrative Excellence (10–20% of the role)

  • Calendar management for the CEO and CHRO—prioritization, sequencing, and day optimization.
  • Travel coordination, expenses, logistics, and meeting support.

Document organization, filing, and document management.

Required Experience & Skills

  • 7+ years supporting C-Suite executives in fast-paced, high-growth, or complex environments.
  • Experience supporting multiple global leaders simultaneously.
  • Strong written communication skills; able to draft executive-level materials.
  • Exceptional organization, prioritization, and time-management abilities.
  • High comfort with ambiguity, rapid change, and building from scratch.
  • Ability to anticipate needs before they are stated; proactive and solution-oriented.
  • Strong relationship-builder with high emotional intelligence.
  • Experience handling personnel-related information with complete confidentiality.
  • Advanced proficiency in Microsoft 365 (Outlook, Teams, PowerPoint, Word, Excel).

Qualifications

  • Experience in technology, energy, infrastructure, real estate, or data center industries.
  • Experience supporting both operations-heavy and executive-leadership-heavy teams.
  • Experience acting as a proxy or extension of an executive in meetings or initiatives.
  • Experience standing up a new office or supporting site-level administration.
