Position Overview
The Order Fulfillment Specialist plays a vital role in ensuring a seamless customer experience from quote to cash. This position manages the complete order lifecycle, including quoting support, order processing, vendor coordination, shipment tracking, invoicing, and customer communication.
You'll work closely with our sales team, customers, vendors, accounting team, and internal departments to ensure orders are fulfilled accurately, efficiently, and on time.
What You'll Do
Customer & Sales Support
- Support sales inquiries and deliver outstanding customer service.
- Update customer information and opportunities within our CRM system.
- Assist with preparing estimates, proposals, and project registrations.
- Obtain pricing and quotes from vendors and secure special pricing opportunities.
- Communicate product availability, lead times, and order updates to customers.
Order Management & Fulfillment
- Process customer orders accurately and efficiently.
- Track orders from receipt through delivery.
- Coordinate with vendors to ensure timely shipment and fulfillment.
- Provide customers with shipment tracking information and delivery updates.
- Confirm receipt of delivered orders and address follow-up needs.
Vendor & Billing Coordination
- Manage vendor billing requests and invoice processing.
- Review and verify vendor invoices for accuracy.
- Coordinate returns, credits, RMAs, and CMAs with vendors.
- Work closely with Accounting on sales tax, credits, and billing requirements.
- Ensure customer invoices are accurate and posted promptly.
Process Improvement & Administration
- Maintain organized records of orders, invoices, shipping information, and customer communications.
- Support the development and improvement of departmental processes and procedures.
- Assist with special projects and operational initiatives as needed.
- Collaborate across departments to ensure efficient workflow and exceptional customer service.
What We're Looking For
Required Qualifications
- High school diploma or equivalent combination of education and experience.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a deadline-driven environment.
- Strong customer service mindset and professional communication skills.
- Proficiency with Microsoft Office and business software systems.
- Accurate data entry and administrative skills.
Qualifications
- Experience with CRM systems (Zoho ).
- Experience in order processing, customer service, operations, logistics, purchasing, or administrative support.
- Familiarity with invoicing, accounts payable processes, or vendor management.
