Position:                                                     Parts Department Manager

Objective:

The Parts Department Manager owns multiple processes including incoming parts order fulfilment; outgoing order packaging and shipment; parts kitting, and inventory control and management.  The job of Parts Department Manager is done for the purpose of maintaining a comprehensive parts inventory in an effort to ensure customer satisfaction, reduce down time, and control cost.  The person must be able to interact with customers, shop workers, office staff, and management in order to obtain and provide information that is vital to the business with regards to inventory levels, purchasing, and order fulfilment.  This person should be reliable, trustworthy, organized, and communicate effectively in a verbal and written manner.  The employee must serve as a role model for safety and process control.  The parts and inventory specialist should be an ambassador for the company and always strive for 100% customer satisfaction both internally and externally.

Responsibilities:

1)     Receive parts calls daily

a)     Create parts quotes

b)     Convert to sales orders

c)     Deliver completed sales orders to accounts payable daily

d)     Schedule shipments

2)     Pull parts for sales orders, create packing list, and prepare for shipment

a)     Print packing list

b)     Package customer orders

c)     Arrange shipment to customer

d)     Ensure shipments meet customer need and requirements

3)     Pull and kit parts from Bills of Material (BOM)for fitting/assembly of products

a)     Develop/maintain a system for kitting parts need for Savannah Global Jobs

b)     Ensure kit accuracy to BOM

i)      To be done as the first step to a new job

ii)     Ensure inventory is allocated to a job at the start to prevent stock outs and delays

4)    Manage inventory and parts required to manufacture and service SavannahÒ   Equipment

a)     Active monitoring and comparison with Sage 50 Inventory levels

b)     Conduct physical counts to ensure proper inventory levels are maintained and accurate

c)     Run inventory reports on regular basis

d)     Submit any material shortages/discrepancies to appropriate office/management personnel

e)     Prevent stock out and/or overstock conditions via active and routine monitoring

5)     Quote and source various parts as required to fulfil orders/maintain inventory levels

6)     Manage and sustain an organized and safe work area utilizing the Lean 5S concepts

7)     Communicate with Team Leaders and Members to maintain a safe and efficient factory environment

8)      Perform other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the business

Key Measurement Criteria:

1)     On time delivery and order accuracy for Parts order fulfilment; external customers

2)     On time delivery and order accuracy for Parts order fulfilment; internal customers (SGS/CZM)

3)     Maintaining a clean and organized work area, 5S principles daily

4)     Inventory accuracy reports with Sage 50, prompt identification of discrepancies and resolution

5)     Develop weekly routine for reporting

6)     Maintain a clean Performance and Safety Record

7)     Contribute to improving overall quality of products and processes with constructive ideas and suggestions

Required Reporting:

1)     Weekly Inventory reports from Sage 50 Accounting and Inventory Program

2)      Identify and alert to any negative inventory on weekly basis

2)     Attend weekly production meetings and maintain a list of jobs to be kitted to support production

3)     Low/high inventory levels that need attention, either re-order or suspend orders based on demand

4)     Any items that may affect safety, quality or productivity in a negative manner

Required Skills/Qualifications:

·       Must be able to communicate in a professional and efficient manner

·       Must have effective time management skills to manage the priorities of each day

·       Must exhibit a willingness to learn new skills and seek continuous improvement of self and processes

·       Must be organized and methodical in work practices

·       Must be familiar with the Savannah product line and be able to manage customer interaction
