Payroll Administrator
Position Type: Full-time, Exempt, Salary
Reports to: HR Director
Supervisory Responsibility: None
Location: Jacksonville, FL (Headquarters)

Summary Objective
The Payroll Administrator manages the entire payroll process, ensuring employees are paid accurately and on time, handling calculations, deductions (taxes, benefits), records, and compliance with labor laws, while also serving as the main contact for pay-related employee questions, requiring strong detail orientation and confidentiality.
Essential Functions
- Administers processing of organization's payroll (and salaried) and collects payroll data to maintain accurate payroll records.
- Assist HR Ops on the processing of employee status changes.
- Analyzes payroll and employee reimbursable expenses per company expense policy.
- Assures general ledger accounts are reconciled; creates on-going month-end, quarterly, and year-end organization reports; and performs other related duties as assigned.
- Create state payroll withholding and SUI tax accounts with appropriate state agencies.
- Reconciles payroll deposits, tax withholdings, wage garnishments, and voluntary deductions, reconciles errors and maintains payroll records.
- Assigns exempt and non-exempt worker status to employees.
- Prepares responses to notices from government agencies regarding employee tax filings.
- Assures that payroll-related transactions are processed in compliance with external and internal policies.
- Performs actions necessary to track and determine regular and overtime pay, and factors commission-based income or bonuses into an employee's salary.
- Processes Federal and State tax and social security withholdings, and other deductions, insurance, benefits, pension/retirement, 401(k) contributions and company match.
- Screens time-worked inputs for calculating, coding, or other errors.
- Reviews and processes payroll adjustments, including vacation and other time off.
- Generates accrual entries, as required.
- Fields and responds to payroll inquiries and resolves discrepancies as required.
- Maintains knowledge of rules and laws which govern the payroll administration practices.
- Prepares for ISO 9001 and other audits.

Supervisory Responsibility
This position does not have supervisory responsibilities.

This position will be out of our office located in Jacksonville, FL.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines
Physical Demands
While performing the duties of this job, the employee is regularly required to sit. The employee frequently is required to walk; use hands to finger, handle or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stand. The employee must frequently lift or move objects up to 10 pounds and occasionally lift or move objects up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, vision and the ability to adjust focus.
Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m.

Required Education and Experience.
- Bachelor’s degree in human resources, Business Administration, or related field ; equivalent experience considered.
- 3+years of experience processing multi-state payroll
- Knowledge of HR compliance and labor laws.
- Proficiency in MS Office Suite and HRIS systems; experience preferably ADP Workforce Now.
Education and Experience
- HR certification (PHR, SHRM-CP, or equivalent)

Must be authorized to work in the USA.
