As we continue to grow, we are seeking a dynamic and experienced Procurement and Logistics Coordinator to join our team and drive our relationships with hyperscale clients to new heights.
As a Procurement and Logistics Coordinator you will be responsible for sourcing, negotiating, and securing all Critical Spare Parts of all equipment, services, and contracts required to build and operate the facility. This includes evaluating and purchasing critical infrastructure and often coordinating with engineering teams to ensure technical compatibility and capacity planning. They manage vendor relationships, conduct cost and risk assessments, oversee supply-chain timelines for long-lead items, ensure compliance with data-center standards and sustainability goals, and maintain inventory and lifecycle planning. Additionally, they mitigate supply-chain disruptions, drive cost optimization, and ensure that procurement decisions support uptime, scalability, and operational resilience.
On the Logistics side, they coordinate shipping, customs, and warehouse receiving, verify deliveries against specifications, and manage on-site inventory so installation teams have the right equipment at the right time. They also organize asset labeling, storage, and staging for deployments, monitor vendor lead times, escalate delays, and maintain clear communication between procurement, engineering, construction, and operations teams to keep buildouts and upgrades on schedule and within budget.
Responsibilities:
- Knowledge of supply chain and procurement processes, including vendor sourcing, quote evaluation, purchase order management, and contract terms.
- Experience with logistics and inventory control, such as coordinating shipments, tracking deliveries, managing warehouse stock, and handling RMAs.
- Familiarity with common data center equipment (servers, switches, cabling, racks, PDUs) and understanding typical lead times for technical components.
- Strong cross-team communication skills to coordinate with engineering, operations, construction, finance, and suppliers.
- Excellent organizational and multitasking abilities, able to manage multiple POs, delivery schedules, and staging tasks in a fast-paced environment.
- High attention to detail, ensuring accurate asset tracking, documentation, serial number recording, and compliance paperwork.
- Adaptability and problem-solving skills to address supply-chain delays, find alternative vendors, and keep projects on schedule.
- Proficiency with procurement and logistics tools such as SAP, Coupa, NetSuite, inventory management systems, and spreadsheet tracking.
- Basic financial understanding to compare pricing, verify invoices, track budgets, and support cost-effective purchasing.
- Awareness of data center security and compliance requirements, including controlled access, proper material handling, and documentation standards.
Qualifications:
- Minimum of 1-2 years of Manage purchase orders end-to-end, including sourcing items, obtaining quotes, creatine BOMs (Bill of Materials), submitting POs, and tracking approval workflows.
- 2-3 years of Coordinate all inbound and outbound logistics, ensuring accurate shipping schedules, customs/transport documentation, and timely delivery to the data center.
- Minimum of 2 Maintain accurate inventory records for hardware, cabling, and infrastructure materials, including serial tracking, labeling, and cycle counts.
- Receive, inspect, and verify deliveries, confirming quantities, specifications, and condition before releasing items to deployment teams.
- Support vendor communication, follow up on lead times, resolve delivery issues, and coordinate RMAs or warranty replacements.
- Stage and organize materials for installation teams, ensuring correct equipment availability for buildouts, upgrades, and maintenance windows.
- Monitor supply levels and forecast demand, proactively identifying when to reorder to avoid deployment delays.
- Maintain detailed documentation including packing lists, receipts, compliance forms, and procurement status reports.
- Assist in budgeting and cost tracking, ensuring alignment with project requirements and financial guidelines.
Physical Requirements:
- Ability to lift and carry heavy equipment, up to 40lbs.
- Ability to climb ladders and multiple flights of stairs to access elevated equipment
- Ability to stand for long periods of time in various work environments
- Ability to bend, stoop, kneel, and reach for equipment related tasks
- Basic physical fitness to respond quickly to emergency situations and navigate areas quickly
- Ability to move quickly and efficiently withing various work environments to troubleshoot issues or respond to emergencies
- Possession of a valid driver’s license for work-related travel, as required.
