OVERVIEW:
SILTT is searching for a dynamic and highly motivated Project Administrator to own day-to-day administration, data quality, and user enablement across one or more commercial projects. You will stand up projects from templates, configure Adobe Construction Cloud modules (Documents, Build, Cost Management, Model Coordination, Design Coordination, Takeoff as applicable), enforce naming and permission standards, drive RFI/submittal and field workflows, and publish clear dashboards for project stakeholders and executive leadership. Youll partner with Project Managers, Supervisors, VDC, cost/accounting, and trade partners to keep information flowing, decisions documented, and closeout packages issue-free. A CALL TO ACTION:

This critical position will collaborate with fellow SILTT teammates, stakeholders and executive leadership. Looking to the future, starting in 4Q2025 we plan to expand our staff beyond our current projections of 20-30 personnel to 100+ by 1Q2027. This Project Administrator will have the opportunity to be on the ground floor and help define the trajectory of our future!
A DAY IN THE LIFE:
In this role, you will support and oversee the scheduling of multiple commercial construction projects. Key responsibilities include, but are not limited to the following:
- Account and Project Setup: Create/clone projects from templates, manage companies, members, roles, permissions, and templates in account administration; apply standard folder structures and metadata; align naming conventions.
- Documents Administration: Configure folders and permissions; set review/approval workflows, transmittals, document versioning, and publish paths to field; maintain drawing sets/specs, revisions and document logs, oversee naming compliance and metadata.
- RFI and Submittals (Build): Stand up workflows, review steps, stamps, and distribution; monitor cycle times, overdue items, and reviewer workloads; maintain submittal register and package logs.
- Forms, Checklists, Issues and Punch: Configure forms/daily logs/inspections; define issue types, root-cause codes, custom attributes; track issue burndown and punch aging through closeout.
- Meetings, Photos, Assets: Administer meeting agendas/minutes with action tracking; curate photo libraries; configure assets for commissioning/turnover data.
- Cost Management: Support budget setup, SOV import, contracts/COs/PCOs/CORs, pay apps, and approval workflows; coordinate with accounting; manage permissions and document controls.
- Model Coordination and Design Collaboration: Configure coordination spaces/clash rules; triage/assign clashes to trades; track status via issues; set up Design Collaboration teams and package exchange/consumption.
- Data Governance and Security: Run permission audits, review logs, and access requests; maintain retention/archival plans; coordinate with IT/Security on standards and owner data requirements.
- Training and Support: Onboard users, host office hours, write quick-reference guides/FAQs, and provide tiered support for ACC usage.
- Reporting and KPIs: Build dashboards (RFI/Submittal cycle, issue closure, reviewer SLA, punch aging, naming compliance, cost document status); publish weekly/monthly/quarterly KPI packs.
- Closeout and Turnover: Compile as-builts, O&M manuals, asset data, warranty logs; execute archive/transmittal to owner per contract.
BASIC QUALIFICATIONS:
- 12+ years of project administration/document control in commercial construction.
- Strong knowledge of construction documents (drawings, specs, addenda, submittals, RFIs) and typical general contracting workflows.
- Hands-on with ACC Docs/Build and ideally Cost Management and/or Model Coordination.
- Proficiency with Bluebeam, Excel, Power BI or similar reporting tools.
- Clear communicator able to coach field and office teams; highly organized with great attention to detail.
SKILLS & COMPETENCIES:
- Autodesk certifications (ACC, BIM 360) or equivalent administrative credentials.
- Experience with ERP integrations and owner platforms
- Exposure to ISO 19650 naming and metadata standards; experience migrating BIM 360 to ACC.
- Familiarity with Navisworks, Revit, Civil 3D and/or model-based coordination practices.
- Experience with Google Workspace apps, permissions, and sharing
ABILITY TO WORK REMOTE:
Partially remote. The work associated with this role is expected to be performed mostly remote, though may be performed on-site as desired, and will require travel for periodic on-site support to our customers.
