About Futoria
Futoria Inc. is a growing electrical engineering and field services firm delivering critical infrastructure projects across utilities, data centers, commercial, and industrial clients. As our workload continues to expand, we are hiring a Project Administrator to help support project coordination, billing, and operational organization. This position reports directly to the company’s President.
This position offers a clear path for growth. As Futoria continues to expand, this role can evolve into senior project coordination, project and operations management, or other leadership support roles for candidates who demonstrate initiative and strong performance.
What You’ll Own
Core responsibilities include execution support, task ownership, and operational coordination, as well as:
• Milestone billing coordination: track project progress, input invoices into QuickBooks, monitor outstanding receivables
• Proposal management: format, track, and coordinate submission of bid proposals; own the proposal pipeline tracker
• Change / purchase order tracking: draft, issue, and log COs/POs with clients + vendors
• Project documentation and compliance: maintain organized records for 4 to 6 concurrent projects with tight compliance requirements
• Scheduling support: help coordinate project schedule, project milestones, and resource allocation
• Systems implementation: help onboard and own our incoming PM system, CRM, and time-tracking tools (rolling out this year)
• Client communication support: draft professional correspondence, follow-up on outstanding items, keep things moving
Who You Are
You’re the right person if:
• 2 to 5 years of project coordination or administrative experience in engineering, construction, utilities, or technical services
• Comfortable with QuickBooks or similar accounting/invoicing software
• Experience with Microsoft Project or similar project management platforms (Smartsheet, Asana, Monday.com, etc.) is a plus
• Have handled proposals, change orders, or milestone billing: you know what these documents are and why they matter
• Understands project schedules and deadlines: comfortable tracking milestones, deliverables, and dependencies across multiple projects and helping keep teams accountable to timelines
• Domain awareness: able to read a project update or other technical communication while understanding the context, though you don’t need to be an engineer
• Detail-oriented: errors on your watch are rare
• Self-directed: you own your tasks, communicate proactively, and close loops
• Operates with humility and desire to learn: you identify what you don’t know and are willing to ask questions or proactively learn to fill those knowledge gaps
• Comfortable building processes from scratch in an early-stage company
