Job Opening: Project Coordinator

We are seeking a highly organized and detail-oriented Project Coordinator to support our technical leadership in managing project financial health, contract administration, and resource coordination. The ideal candidate will act as the primary client liaison for financial and contractual matters while ensuring projects remain on track, within budget, and aligned with contractual obligations.
Key Responsibilities:
• Collaborate with project technical leaders to oversee financial aspects of each project.
• Serve as the primary client contact for contractual and financial discussions.
• Generate and refine initial project proposals, incorporating in-house engineering disciplines and subconsultants.
• Work with senior leadership to finalize, issue, and track project proposals from initiation to award and closeout.
• Coordinate internal teams and subconsultants to fulfill project scope requirements.
• Manage projects throughout their lifecycle, ensuring scope execution per contract while
identifying opportunities for increased services.
• Maintain accurate records of potential project add services.
• Monitor project team time allocation, flagging discrepancies and budget shortfalls.
• Track and log project risks, escalating critical concerns to technical leads and senior leadership.
• Support technical leaders in executing projects within established timelines and budget
constraints.
• Track and report financial metrics for ongoing projects.
• Organize and manage project opportunities by maintaining follow-ups on progress, confidence levels, and potential start dates.
• Prepare NDA, RFP, RFQ, and proposal documentation, enabling leadership to focus on core
deliverables.
• Track and manage proposals, ensuring timely follow-ups with clients on teaming interests.
• Process and obtain approvals for NDAs on behalf of senior leadership.
• Verify project POs and update relevant financial systems accordingly.
• Regularly compare active projects against forecasting sheets to ensure alignment and accuracy.
Qualifications:
• Strong organizational and financial project management skills.
• Experience in client communications, contractual management, and proposal development.
• Proficiency in project tracking tools and financial reporting systems.
• Ability to coordinate internal and external project resources effectively.
• Detail-oriented with the ability to anticipate project risks and mitigate potential impacts.
• Excellent communication and problem-solving skills.
COMPENSATION
Base Compensation: $65,000-$75,000 (Actual compensation is subject to variation due to factors such as education, experience, skills and/or location)
