Project Coordinator
Location Guardian HQ South Hackensack, New Jersey
Reports to Director of Client Operations

As a Project Coordinator you sit at the center of that execution.
You are responsible for coordinating complex field projects that span multiple technicians, locations, timelines, and service types. You work closely with the Field Support team and field technicians to ensure projects are properly planned, staffed, communicated, and executed. You keep work moving, surface risk early, and ensure projects close cleanly.

Your role exists to manage complexity. Data erasure and data center projects require tight sequencing, accurate documentation, technician readiness, and constant communication. You are responsible for keeping all moving parts aligned from pre-project planning through final closeout.
This role is designed for a coordinator who has moved beyond basic scheduling and is ready to own multi-day, multi-site, or multi-technician projects with real operational risk and client visibility.
What You Will Do
- Coordinate Complex ITAD Projects
- Plan and coordinate data erasure, data center decommissioning, and other advanced ITAD services. Confirm scope timelines, staffing requirements, travel needs, and dependencies before work begins.
- Partner With Field Support and Technicians
- Work directly with Field Support and field technicians to ensure alignment and clarity on readiness. Confirm technician assignments, travel plans, access requirements, equipment needs, and job sequencing.
- Manage Project Communication
- Serve as a central point of coordination for internal stakeholders and select client communications. Provide clear updates, manage changes, and escalate risks before they impact delivery.
- Track Progress and Resolve Issues
- Monitor active projects for timing gaps, documentation issues, or execution risk. Resolve what is within scope and escalate issues quickly when intervention is required.
- Support Documentation and Closeout
- Ensure chain-of-custody records, certificates of data destruction, asset inventories, and project documentation are complete, accurate, and submitted on time. Prepare projects for clean closeout and billing.
- Maintain System Accuracy
- Keep ERP, CRM, and project tracking tools accurate and current. Complex projects fail when data is wrong. Your role prevents that.
What You Will Not Be Doing
This role is intentionally focused on coordination and execution.
You will not be:
- Managing employees or contractors
- Negotiating pricing contracts or scope
- Redesigning company-wide processes
- Owning strategic account relationships

What You Bring
- Experience coordinating projects in operations, logistics, field services, or technical environments
- Comfort working with field teams' schedules and travel coordination
- Strong written and verbal communication skills
- Ability to manage multiple active projects simultaneously
- Willingness to travel up to 25% as project needs require
- Bonus exposure to IT services, data center environments or data handling workflows
Schedule and Compensation
Full-time role based out of Guardian HQ
Monday through Friday standard business hours with flexibility based on project needs
Salary range $25-$29/ hour, based on experience
