Location: Project Site (full-time on-site, Buffalo, NY)
Reports To: Project Manager / Assistant Project Manager
Status: Full-time, on-site, non-exempt or exempt depending on candidate
Salary Range: $60,000 – $85,000 (commensurate with experience)
Position Summary
The Project Coordinator provides full-time on-site administrative, documentation, and compliance support to the project team. The Coordinator keeps the document control, compliance, meeting cadence, and reporting workflows running so that the PM, APM, PE, and field leadership can focus on execution.
Key Responsibilities
- Maintain document control in Procore: drawings, specifications, submittals, RFIs, ASIs, change orders, daily reports, photos, and meeting minutes.
- Schedule and coordinate weekly job meetings, OAC meetings, design coordination meetings, and subcontractor pre-construction meetings; prepare agendas and distribute minutes (a condition of payment).
- Track and file certified payroll submissions, OSHA 10 documentation, apprenticeship documentation, and facility ID/security records for all on-site personnel.
- Maintain the daily sign-in/sign-out log and weekly manpower reports by classification.
- Coordinate MWBE/SDVOB compliance documentation: gather subcontractor utilization data, supporting invoices, and proof of payment; prepare monthly OCSD-6 packages for APM/PM review.
- Support Workforce Utilization Report (OCSD-3) compilation by collecting EEO classification data from subcontractors.
- Manage the project trailer, supplies, IT setup, mobile devices, and visitor coordination including facility ID processing.
- Maintain project directories, emergency contact lists, and key personnel/alternates roster.
- Track insurance certificates (ACORD), workers' compensation, , and bond compliance for all subcontractors; flag expirations.
- Support invoicing: assemble pay application backup, lien waivers, and certified payroll attachments for APM/PM approval.
- Support closeout documentation assembly: O&M manuals, warranties, training records, record drawings, and final compliance reports.
- Coordinate with the Owner and Owner's Representative on access, parking, deliveries, and security as needed.
Required Qualifications
- Associate or Bachelor's degree in Construction Management, Business Administration, or related field (equivalent administrative experience considered).
- Minimum 2+ years of project administration, document control, or coordinator experience in construction or a related project-based industry.
- OSHA 10-Hour Construction certification (current or obtained within 30 days of hire).
- Proficiency with Procore (or comparable CM platform), Bluebeam, Microsoft Office (Excel, Word, Outlook, Teams), and SharePoint.
- Strong organizational skills, attention to detail, and ability to manage multiple concurrent workflows with strict deadlines.
- Excellent written and verbal communication; professional demeanor with owners, designers, inspectors, and subcontractors.
- Ability to obtain facility identification.
- Valid driver's license.
Qualifications
- Prior coordinator or administrator experience on a SUNY, ESD-funded, or NYS public works project.
- Familiarity with NYS prevailing wage / LS-223 certified payroll, NYSCS, and ESD OCSD MWBE/SDVOB reporting forms.
- Notary public commission in New York State.
- Experience supporting mission-critical, data center, or higher-education construction projects.
Working Conditions
Full-time on-site at the project location, primarily in the project trailer with periodic site walks. Standard 40 hour work week.
