Position Summary:

The Project Scheduler & Document Controller is responsible for coordinating project schedules and managing project documentation to support the successful execution of construction and field operations projects. This role works closely with project managers, field personnel, subcontractors, and leadership to maintain accurate schedules, track project progress, and ensure all project documentation is organized, current, and compliant with company and contractual requirements. The position plays a key role in supporting operational efficiency, communication, and overall project controls.

Key Responsibilities:

  • Develop, maintain, and update project schedules for active construction and field operations projects
  • Monitor project progress and provide schedule updates, look-ahead schedules, and milestone tracking reports
  • Identify scheduling conflicts, delays, and critical path impacts, and communicate concerns to project leadership
  • Coordinate scheduling activities with project managers, superintendents, subcontractors, vendors, and clients
  • Maintain and organize all project documentation, including contracts, drawings, permits, RFIs, submittals, change orders, and correspondence
  • Control document flow, revisions, approvals, and distribution processes
  • Ensure project records are accurate, current, and properly filed within company systems
  • Support project meetings by preparing reports, logs, and scheduling documentation
  • Assist with project closeout documentation and records retention processes
  • Track deadlines for document submissions, approvals, and project deliverables
  • Maintain confidentiality of sensitive project and company information
  • Support continuous improvements to scheduling and document control procedures

Qualifications:

  • Associate’s or Bachelor’s degree in Construction Management, Business Administration, Engineering, or related field (or equivalent experience)
  • 3+ years of experience in project scheduling, document control, or project coordination within construction or industrial environments
  • Strong understanding of construction scheduling and project documentation processes
  • Proficiency in Microsoft Office, Microsoft Project, Primavera P6, or similar scheduling/document management software
  • Excellent organizational, communication, and time management skills
  • Strong attention to detail and ability to manage multiple priorities simultaneously

Qualifications:

  • Experience supporting large-scale or multi-site construction projects
  • Familiarity with critical path method (CPM) scheduling
  • Experience with construction management or ERP systems
  • Knowledge of project controls, contracts, and change management processes

Work Environment & Expectations:

  • Fast-paced construction and field operations environment
  • May require periodic travel to project sites
  • Requires the ability to work collaboratively with field teams, project management, and leadership
  • Ability to maintain accurate records and meet strict deadlines in a dynamic environment
