Impact

The Purchase Coordinator plays a vital role in ensuring the company has the right materials, tools, and services—at the right cost and at the right time—to support customer projects, field operations, and quoting activities. As a key partner to Sales, Field Engineering, Vendors, and Operations, this role directly influences profitability, delivery timelines, supplier performance, and overall customer satisfaction. By managing sourcing decisions, evaluating suppliers, driving cost competitiveness, coordinating shipments, and maintaining accurate inventory levels, the Coordinator strengthens operational efficiency and ensures timely execution across service lines. Through effective communication, professional vendor engagement, and diligent inventory oversight, this position helps maintain the company's service reliability and operational excellence.

Core Responsibilities

  • Initiate purchase orders and amendments for materials, MRO items, special tools, parts, and services, including arranging sample submissions and required inspections.

  • Collaborate closely with Sales and Field Engineers to support accurate and timely quoting, sourcing decisions, and supplier quality alignment.

  • Secure and analyze supplier quotes, obtain updated pricing, negotiate terms, and recommend suppliers based on cost, quality, delivery, and competitiveness.

  • Assist with in-house parts inventory: identify high-use or critical items, maintain appropriate stock levels, and monitor replenishment needs.

  • Coordinate planning, scheduling, and inventory control parameters in alignment with NetSuite system requirements or requisitioner needs.

  • Read, interpret, and fulfill materials requirements from service orders and work requests.

  • Coordinate small-package and LTL freight shipments including creating labels, shipping documentation, and logistics arrangements.

  • Track order shipments from dispatch through delivery; update customers and internal teams with expected delivery timelines.

  • Support the repair and return process (RMA), assist with periodic inventory counts, and manage tool inventory for Field Engineers.

  • Conduct periodic cycle counts on Field Engineer toolkits and issue complete toolkits for new hires.

  • Track annual tool calibration schedules and monitor PPE compliance requirements.

  • Monitor market pricing trends, engineering developments, and service method improvements; communicate relevant insights to the Logistics & Facilities Manager.

  • Participate in supplier site visits to qualify new vendors and assist in resolving quality, design, or delivery-related issues.

  • Maintain accurate business records related to purchasing, shipping, receiving, and sales transactions.

  • Ensure adherence to internal procedures, administrative standards, and professional documentation practices.

  • Perform additional duties as needed to support sourcing, procurement, and logistics operations.

Core Requirements

  • Bachelor's or Associate's degree .

  • Minimum 2 years of progressive experience in sourcing, purchasing, or materials coordination in a service-based or technical environment.

  • Strong verbal and written communication skills with the ability to interface professionally with internal teams, customers, and suppliers.

  • Ability to organize and manage multiple priorities, projects, and deadlines effectively.

  • Strong problem-solving skills with the ability to analyze issues, recommend solutions, and follow through on resolutions.

  • Customer-focused mindset with a commitment to service quality and responsiveness.

  • Proficiency with Microsoft Office (Word, Excel, PowerPoint); experience with NetSuite or similar ERP systems .

  • Strategic and tactical thinker with strong attention to detail, accuracy, and accountability.

  • Demonstrated ability to work collaboratively within a team environment.

  • Self-motivated, adaptable, and able to work independently when required.

  • Willingness to participate in the on-call rotation within the first 2–3 months of employment.

  • High level of accuracy, detail , and commitment to operational excellence.

Salary $50,000 to $55,000
