Senior Bid Coordinator – Facilities Management & Technical Services

Our client is a fast-growing organisation supporting large-scale facilities management, operations, maintenance and technical service contracts across commercial, industrial, infrastructure and mission-critical environments.

As part of their expanding pre-contracts division, they are seeking an experienced Senior Bid Coordinator to lead the development of compelling, compliant bids for FM and hard-services tenders across the Kingdom.

This is a high-impact opportunity for a bid professional who understands the unique requirements of FM tendering, from service delivery models and mobilisation plans to asset management, SLAs, KPIs and lifecycle strategies and can shape high-quality submissions in a fast-paced environment.

 

About the Role

The Senior Bid Coordinator will lead the preparation, coordination and submission of bids for Facilities Management, operations & maintenance (O&M), and technical service contracts. You will collaborate closely with FM operations leaders, engineers, mobilisation specialists, commercial teams and senior management to develop accurate, competitive tender responses aligned with client specifications and FM industry best practice.

Experience preparing bids for engineering consultancy or technical FM services, ideally involving data centres, critical facilities, or large-scale building portfolios, is highly advantageous.

 

Key Responsibilities

  • Lead the end-to-end development and submission of FM and technical services bids, proposals and RFP responses.
  • Analyse tender requirements and FM scopes (hard, soft and integrated FM) to produce fully compliant submission plans.
  • Coordinate inputs from FM operations, maintenance, engineering, HSE, mobilisation and supply chain teams.
  • Develop high-quality written content: service delivery methodologies, maintenance strategies, mobilisation plans, risk assessments, resourcing models and performance frameworks.
  • Prepare FM-specific documents including SLA/KPI tables, CAFM/CMMS integration approaches, asset registers, lifecycle strategies and staffing plans.
  • Facilitate internal reviews, red-team processes and bid governance steps to ensure complete, accurate submissions.
  • Ensure all proposals align with local regulatory requirements, FM best practices and client technical specifications.
  • Maintain bid libraries, templates, case studies, project references and FM capability statements.
  • Support opportunity qualification, tender tracking and bid/no-bid decisions.
  • Coordinate commercial, contractual and pricing inputs in partnership with pre-contracts and commercial teams.

 

Qualifications, Skills & Experience

  • Bachelor’s degree in Engineering, Facilities Management, Business, Communications or a related discipline.
  • 5–8 years’ experience in bid coordination or tender management, ideally within Facilities Management, technical services, engineering consultancy or O&M environments.
  • Strong understanding of FM tendering requirements including SLAs, KPIs, CAFM systems, asset management, planned preventive maintenance (PPM) and mobilisation planning.
  • Experience producing bids for data centres, critical environments or high-availability facilities is a strong advantage.
  • Excellent writing, editing and structuring skills with a focus on clarity, compliance and value proposition development.
  • Strong organisational and project-coordination capabilities with proven ability to manage multiple deadlines.
  • Proficiency with MS Office, Adobe tools and bid-management platforms.
