Technical Coordinator, Data Centre, Europe

Job Description

This role supports the EU Data Centre Team and reports to the Director, Europe Data Centre Technical Operations.

Responsibilities

  • Provide administrative and coordination support to data centre technical and business operations, projects, and compliance activities across the Europe data centre portfolio.
  • Support project planning and scheduling activities, including issuing Customer notifications and maintaining project plans, schedules, and timelines.
  • Organise and maintain project and operations-related documentation, reports, and records.
  • Support the review, validation, and approval of quotations for additional works across the operational portfolios via the third-party FM provider systems, in line with approval thresholds.
  • Schedule and facilitate project and operational meetings, including agenda preparation, minute taking, and distribution of actions and updates.
  • Maintain accurate and up‑to‑date compliance records, permits, and maintenance documentation, ensuring alignment with data centre policies and audit requirements.
  • Provide general administrative support including data entry, invoice processing, approval tracking, and maintenance of effective filing systems.
  • Assist in the creation and maintenance of templates for presentations and external communications, to ensure high quality and consistency.
  • Liaise with internal stakeholders and external parties to support documentation management and resolve queries.
  • Manage Financial Authority Limit (FAL) documentation and related matters, including preparation and submission FAL requests on behalf of the EU Data Centre Team as required.
  • Prepare, track, and manage purchase orders for the FM provider and subcontractors, ensuring quotes and supporting documentation are compliant with approved budgets and internal procurement policies.
  • Serve as the designated administrator for the internal Integrated Management System site, maintaining system integrity and supporting ISO certification compliance. Ensure appropriate governance of user access by adding new users only upon receipt of an authorised employee joiner form from HR.
  • Perform additional administrative and operational tasks as required to meet business needs.

Requirements

  • Previous experience in, or exposure to, a data centre or critical environment.
  • Demonstrated experience in supporting multi‑site maintenance planning and coordination, including resource management and the development of short‑term maintenance plans aligned to operational priorities and engineering skill sets.
  • Minimum of 3 years of relevant administrative or coordination experience, ideally within a data centre, facilities, or technical environment.
  • Strong written and verbal communication skills, with the ability to engage effectively with internal and external stakeholders.
  • Highly organised, detailed-orientated, and able to manage multiple priorities in a fast-paced environment.
  • Proven ability to work effectively as part of a team.
  • Ability to operate effectively within a hybrid working arrangement, with a mandatory requirement to attend the London office at least 3 days per week and to undertake occasional visits to data centre sites.
  • Proficient in MS Office applications including PowerPoint, Excel, Outlook, and Word.
