A Lot About You

We are seeking an Account Support Specialist to join our team. The position will be based in Seymour, IN. The Account Support Specialist serves as a key point of contact for customers, providing responsive service and support throughout the sales and project lifecycle. This role manages request-for-quote activities, coordinates project details, and ensures customer requirements are clearly understood and met. The ideal candidate will listen to customer needs, recommend appropriate products or solutions, and help guide projects to successful completion. Strong communication, organization, and problem-solving skills are essential. This position plays a critical role in building positive, long-term customer relationships. The successful candidate will be a process-driven, highly motivated, and result-oriented individual with a strong understanding of the manufacturing industry and distribution channels. Highlights of the Position:

  • Work closely and collaboratively with sales, production, machining/fabrication, finance, and the quality team
  • Estimation/Quoting: Using specialized software or manual methods to lay out and quantify the amount of materials needed to satisfy the project. Also, determine lead-time to give customers the appropriate estimate.
  • Troubleshooting Assistance: Account Support Specialists troubleshoot customer issues related to orders, account statuses, and other relevant problems. They address customer concerns promptly and efficiently.
  • Understand customer needs and requirements to recommend appropriate products or solutions that align with their business objectives.
  • Receive and review customer orders via email, phone, or electronic systems. Input order details accurately into the company’s order management system, ensuring completeness and correctness of information.
  • Analyze order specifications, including product quantities, specifications, pricing, and delivery requirements.
  • Communicate order status updates and estimated delivery dates to customers as needed.
  • Maintain accurate records of orders, including documentation of customer communications, order revisions, and related activities.
  • Collaborate with sales and customer service teams to address customer inquiries, resolve issues, and provide exceptional service.
  • Vendor and Supplier Coordination: Obtain price quotes and negotiate with vendors and suppliers to secure competitive pricing for materials and services needed for the project.
  • Build and maintain strong relationships with existing and potential customers through regular communication via phone, email, and other channels.
  • Cost Analysis: Analyzing cost estimates to ensure accuracy and completeness, identifying potential cost-saving opportunities or areas of concern, and making adjustments as necessary.
  • Resolve discrepancies by collecting and analyzing information and understanding contract specifications, documents, and drawings.
  • Documentation and Reporting: Documenting all aspects of the estimation process, including assumptions, methodologies, and pricing details, and preparing comprehensive quotes for customers using Epicor.
  • Collaboration with the external sales team to coordinate sales efforts, share market insights, and support each other in achieving sales targets.
  • Continuous improvement: Staying updated on industry trends, material costs, and construction methods to improve the accuracy and efficiency of the estimation process over time.
  • Follow the project from start to finish.
  • An occasional day trip to see the customer site may be warranted.

Physical Requirements

  • Prolonged sitting at a desk or working on a computer.
  • Must be able to lift up to 20 pounds at a time.

Qualifications:

  • High School diploma or equivalent
  • Proven experience in order entry, order processing, or related administrative roles, preferably in a manufacturing or distribution environment.
  • Strong attention to detail and ability to work precisely and accurately.
  • Excellent problem-solving skills and ability to think creatively to overcome design challenges and resolve issues efficiently and diplomatically.
  • Effective verbal and written communication skills, with the ability to collaborate effectively in a team environment.
  • Eagerness to learn and willingness to take on new challenges and responsibilities.
  • Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
  • Ability to work independently with minimal supervision, as well as part of a collaborative team.
