The Data Center Logistics Coordinator oversees the transportation, storage, and delivery of HVAC and data center equipment from to installation site. This role ensures efficient coordination among factories, ports, carriers, and third-party warehouses while maintaining visibility, accuracy, and compliance across all shipment stages. The position plays a key role in project execution, ensuring materials flow seamlessly to meet demanding customer timelines.
Requirements:
Transportation Coordination
- Plan, schedule, and track international and domestic shipments, including customs clearance, drayage, and final-mile delivery.
- Maintain proactive communication with freight forwarders and carriers to ensure schedule adherence and visibility.
- Escalate and resolve shipment issues to prevent project delays.
Third-Party Warehouse & Inventory Coordination
- Manage inbound receipts, warehouse transfers, and outbound shipments with third-party logistics (3PL) providers.
- Ensure inventory accuracy through documentation, labeling, and reconciliation with project schedules.
- Oversee physical inspections and damage documentation as needed.
Carrier & Vendor Management
- Act as the primary liaison with carriers, warehouses, and freight partners for day-to-day coordination.
- Monitor vendor performance and costs against established KPIs.
- Support sourcing efforts by identifying service improvement opportunities.
Project Logistics Enablement
- Partner with Customer Project/Account Managers to provide shipment visibility, delivery confirmations, and milestone reporting.
- Maintain dashboards and summaries of shipments-in-progress, including delays or exceptions.
- Support field, trucking, and warehouse teams in ensuring readiness for equipment arrivals.
Compliance & Documentation
- Ensure adherence to import/export, safety, and environmental regulations.
- Maintain shipment records, customs documentation, bills of lading, proof of delivery, customs duties, tariffs, brokers, and related fees.
- Maintain issue logs.
- Verify all logistics records are audit-ready and aligned with company retention policies.
Performance Metrics & Reporting
- Develop and maintain dashboards tracking delivery performance, transit times, and logistics spend.
- Identify patterns, analyze root causes, and propose process improvements.
- Present summaries to management highlighting trends and corrective actions.
Cost Control & Billing Review
- Reconcile invoices against agreed rates, flag discrepancies, and work with vendors to resolve issues.
- Contribute to cost-reduction and service-optimization initiatives.
Continuous Improvement
- Participate in process development for new tools, systems, and reporting platforms.
- Recommend enhancements to tracking systems and documentation workflows.
- Support internal automation efforts using ERP, Airtable, or Power BI for logistics transparency.
Required
- 3–5 years of logistics coordination, supply chain, or import/export experience.
- Strong knowledge of both international and domestic logistics.
- Proven ability to manage multiple concurrent shipments and deadlines.
- Proficiency in Excel and digital tracking systems (ERP, CRM, or equivalent).
- Excellent organizational, analytical, and communication skills.
- High attention to detail with problem-solving .
- Associate degree in Logistics, Supply Chain, or related field.
- Familiarity with data visualization tools (Power BI, Airtable dashboards, etc.).
- Experience coordinating equipment for HVAC or construction projects.
- Understanding of vendor scorecards and KPI reporting.
Physical Requirements
- Primarily office-based, with extended computer use.
- Occasional travel to warehouse or vendor locations (domestic).
- Must be able to lift 25 lbs. occasionally.
