Office Manager – Commercial Contractor (Construction Experience Required)

Key Responsibilities

Oversee day-to-day office operations, including scheduling, document management, and communication flow

Maintain organized records of contracts, submittals, change orders, and job files

Work closely with Project Managers and field staff to track project schedules, budgets, and resource needs

Manage and process payroll, accounts payable/receivable, and vendor invoices (in coordination with accounting)

Handle HR-related tasks such as onboarding new employees, maintaining employee records, and benefits coordination

Ensure compliance with licensing, insurance, safety documentation, and other administrative regulations

Coordinate with general contractors, suppliers, and subcontractors to keep projects running efficiently

Support estimating and project tracking using software tools (experience with Procore, QuickBooks, or OST a plus)
What We're Looking For

3+ years of office management or project admin experience within a construction or subcontracting environment

Strong knowledge of construction documents, terminology, and workflow

Exceptional organizational skills and attention to detail

Ability to multi-task and prioritize in a fast-paced environment

Strong computer skills: Microsoft Office, spreadsheets, project management software

Excellent communication and interpersonal abilities

Self-starter who can take initiative and work independently

Familiarity with Procore, QuickBooks, or other industry-specific software

Bilingual (English/Spanish) is a plus
