Office Manager – Commercial Contractor (Construction Experience Required)

Key Responsibilities

  • Oversee day-to-day office operations, including scheduling, document management, and communication flow

  • Maintain organized records of contracts, submittals, change orders, and job files

  • Work closely with Project Managers and field staff to track project schedules, budgets, and resource needs

  • Manage and process payroll, accounts payable/receivable, and vendor invoices (in coordination with accounting)

  • Handle HR-related tasks such as onboarding new employees, maintaining employee records, and benefits coordination

  • Ensure compliance with licensing, insurance, safety documentation, and other administrative regulations

  • Coordinate with general contractors, suppliers, and subcontractors to keep projects running efficiently

  • Support estimating and project tracking using software tools (experience with Procore, QuickBooks, or OST a plus)

What We're Looking For

  • 3+ years of office management or project admin experience within a construction or subcontracting environment

  • Strong knowledge of construction documents, terminology, and workflow

  • Exceptional organizational skills and attention to detail

  • Ability to multi-task and prioritize in a fast-paced environment

  • Strong computer skills: Microsoft Office, spreadsheets, project management software

  • Excellent communication and interpersonal abilities

  • Self-starter who can take initiative and work independently

but Not Required

  • Familiarity with Procore, QuickBooks, or other industry-specific software

  • Bilingual (English/Spanish) is a plus
