Project Administrator
Commercial Real Estate Construction - Mixed Asset Portfolio
Seattle, WA | In-office
Hirewell has been exclusively retained by a leading commercial real estate investment firm to lead the search for a Project Administrator in Seattle, WA. This is an on-site role supporting capital improvement, tenant improvement, and asset management projects across a diverse portfolio that includes office, retail, multifamily, and data center properties. The ideal candidate has 3–5 years of experience with a general contractor, a degree in architecture or construction management, and strong organizational and technical skills. This role offers a clear growth path to Project Manager within 2–3 years.
Responsibilities
- Coordinate and support capital improvement, maintenance, and sustainability projects across a portfolio.
- Track and maintain documentation for acquisitions, capital projects, and maintenance issues.
- Review capital project schedules, contracts, drawings, change orders, and pay applications for accuracy.
- Analyze property condition reports and project budgets during acquisition phases.
- Organize and maintain digital file structures and project records.
- Review tenant improvement (TI) drawings, RFPs, design documents, and vendor contracts.
- Produce meeting minutes and communicate effectively with clients, vendors, and internal teams.
- Provide input to improve project processes, increase efficiency, and enhance outcomes.
- Participate in project and property calls and report key updates to leadership.
Qualifications:
- 3–5 years of experience working for a General Contractor (GC).
- Bachelor’s degree in Architecture, Construction Management, or related field.
- Strong understanding of construction documents, systems, and permitting processes.
- Proficiency with Microsoft 365 and ability to quickly learn new platforms.
- Familiarity with Procore, Bluebeam, and/or Yardi.
- Excellent organizational skills and meticulous attention to detail.
- Personable, team-oriented, and comfortable in a client-facing role.
- Experience with tenant improvement (TI) projects.
- Background in reviewing RFPs, contracts, and technical reports.
Compensation:
- $90,000–$100,000 annually, based on experience and qualifications.
