Job Description: Sales Desk Coordinator
Location: Columbia, MD

About the Role
The Sales Desk Coordinator plays a critical role in enabling sales effectiveness, operational rigor, and data transparency across the commercial organization. This role serves as the centralized intake and coordination point for all quote and proposal activity, ensuring speed, consistency, data integrity, and visibility throughout the quote lifecycle.
This position will act as the gatekeeper of Salesforce data quality within the quote and proposal phase, partnering closely with Sales, Estimating, Engineering, and Systems to streamline workflows, eliminate friction, and support scalable growth. This role is foundational to the Sales Desk initiative and broader Salesforce adoption strategy.
What You’ll Do
- Sales Desk Intake & Governance
- Serve as the primary intake point for all quote and proposal requests submitted through Salesforce.
- Review incoming requests to confirm completeness, accuracy, and alignment with defined submission requirements.
- Validate that opportunities are not duplicates and ensure proper project and account structure within Salesforce.
- Serve as the sole role authorized to merge, edit, or resolve duplicate records within the system.
- Maintain data hygiene and enforce Salesforce standards to preserve reporting integrity and trust.
- Quote & Proposal Coordination
- Coordinate handoffs between Sales, Estimating, and Engineering following approved workflows.
- Ensure quote requests are routed promptly to the appropriate estimating resources based on scope and complexity.
- Track quote progress, cycle time, and bottlenecks from submission through delivery to sales.
- Support standardized proposal using Salesforce templates, pre populated letterhead, and approved disclaimers.
- Ensure completed quotes are returned to sales in a timely and consistent manner.
- Salesforce Enablement & Visibility
- Act as a day-to-day Salesforce power user within the Sales Desk function.
- Ensure all quote related activity is captured and tracked within Salesforce.
- Partner with Salesforce leadership to support workflow enhancements, dashboards, and reporting tied to quote performance.
- Support adoption by reinforcing Salesforce as the single system of record for customer, project, and opportunity data.
- Cross Functional Collaboration
- Serve as a central point of coordination between Sales, Estimating, Engineering, Finance, Marketing, and Systems.
- Participate in recurring Sales Desk and initiative working sessions to surface issues and improvement opportunities.
- Support change management by reinforcing new processes and helping teams navigate transitions.
- Performance Tracking & Continuous Improvement
- Track and report key performance metrics including quote cycle time, rework, backlog, and throughput.
- Surface trends, risks, and opportunities for process improvement.
- Contribute to the development of SOPs and scalable operating models as the Sales Desk matures.
Additional Expectation
- Remain compliant with the Code of Conduct and Policies which includes the Kingspan Group Compliance Policy.
- Ensure that all duties related to product compliance are adhered to in accordance with the Product Compliance Policy, Laws, Regulations, and market demands.
- Responsible for all tasks to achieve compliance goals and demands of the Compliance Management System.
- Must raise concerns related to the Compliance Management System to their supervisor, manager, or any member of the Leadership Team, or through the confidential whistle blower service.
What You’ll Bring
- Bachelor’s degree or equivalent professional experience required.
- 3–5 years of experience in sales operations, commercial coordination, estimating support, or a similar role.
- Strong working knowledge of Salesforce or comparable CRM platforms required.
- Exceptional organizational skills with the ability to manage multiple requests and priorities simultaneously.
- High attention to detail and strong data discipline.
- Comfort working cross functionally and communicating with both sales teams and technical partners.
- Experience in manufacturing, construction, engineering, or project-based sales environments .
