Bookkeeper/Office Manager

Primary Responsibilities and Expectations:

As Bookkeeper / Office Manager, you will be expected to assume ownership of the company’s day-to-day financial and administrative operations, including but not limited to:

· Full-cycle bookkeeping and maintenance of accurate financial records using Sage 50 Accounting and Inventory Program

· Payroll processing and coordination with payroll/tax providers through the Time Clock Plus Integration with Co-Advantage (PEO service provider for payroll processing, payroll tax filing and compliance, workers’ comp administration, benefits administration to include health, 401k, etc., HR compliance, employee handbook guidance, safety program support, risk management support).

· Support cost accounting needs for manufacturing jobs. Jobs are set up by the general manager and bills of materials and final job review are provided by engineering. Labor input is automated through Time Clock Plus time keeping system, Overhead reconciled based on a annual overhead rate and final hours per job.

· Management of accounts payable and accounts receivable

o Customer file maintenance, sales tax exemption verification and maintenance of payable contact

o Monitoring and management of accounts receivable aging, monthly review with General Manager and Parts Department Manager

o Assist with customer credit card processing

o Vendor file maintenance, W-9 collection, and insurance certificate tracking

o Monitoring and management of accounts payable

· Monthly Sales Tax Reporting using the Avalara AvaTax program to process daily invoices to customers

· Bank and credit card reconciliations

· Monthly and ongoing checking account reconciliations

· Safety incident reporting to Co-Advantage (PEO Service Provider) risk manager

· Health insurance premium and benefits annual review with Cowart Insurance Group (Broker the past 25 years)

· CZM relationship support (CZM rents space until March 2033, we share some expenses and also provide fabrication and machining services for them.

o Reconcile monthly expenses invoice (includes: rent, building and lawn maintenance, utilities, property tax, etc.

o Maintain service job ledgers and provide invoices with information provided by the general manager

· Preparation of monthly financial reports (Profit & Loss, Balance Sheet, Cash Flow)

· Support of cost-control processes

· Organization and maintenance of digital and physical records

· Coordination with CPA and support during month and year-end reporting

· General oversight of office administration and operational workflow

· Miscellaneous support of Savannah Land Solutions (rental division).

o Input expenses in rent jobs set-up by Mark

o Assist in rents invoicing as needed by Mark and tracking on Rents Board in bookkeepers’ office

o Close rent jobs when complete

o SLS is in process of being sold within next 30 days, support no longer required
