Role Overview
VIATechnik's Electrical Studio is growing fast, and this role exists to make sure the infrastructure behind how it wins work keeps pace with the opportunity. The Project Coordinator, Electrical owns the processes that move incoming opportunities from pipeline to executed contract, including proposal coordination, Salesforce pipeline management, change orders, contract execution, and marketing collateral. This is not an administrative support role. It is operational ownership at the center of a fast-moving studio, where your precision and follow-through directly determine how much work the team can confidently pursue and close.

Major Objectives
- Achieve full ownership of the Electrical Studio's Salesforce pipeline within 60 days, with all active opportunities accurately staged, priced, and annotated, resulting in zero pipeline gaps flagged during monthly reviews.
- Reduce proposal turnaround time for mid-market clients to five business days or fewer within 90 days, by owning the full setup, takeoff, estimating, and review coordination workflow end to end.
- Maintain a zero-outstanding change order backlog at any point in the quarter, with all change orders processed and fully executed within two weeks of issuance.
- Own the end-to-end contract execution workflow within six months, with all fully executed subcontracts filed correctly in both BOX and Salesforce within 24 hours of execution.
- Develop and maintain a complete library of current Electrical Studio marketing materials within the first year, including project team maps, zipper plans, and proposal templates ready for AE deployment without additional design work.
Critical Responsibilities
Proposal and Pipeline Management
- Execute full project setup for every incoming opportunity, including configuring Salesforce, setting up BOX folders, filing project documents, and capturing square footage for estimate templates, with zero errors across multiple simultaneous pursuits.
- Perform Bluebeam takeoffs across electrical drawings as needed to establish accurate scope inputs for pricing, working with technical resources to validate estimates consistent with the studio's financial objectives.
Change Orders and Contract Execution
- Manage the change order workflow end to end, from processing in Salesforce through client delivery, execution tracking, and budget updates, following every CO through to full execution with airtight follow-through.
- Own contract execution for the Electrical Studio, including redline coordination, BOX Sign routing, certificates of insurance, W-9s, and filing of fully executed subcontracts, managing each step of this multi-party, deadline-sensitive workflow.
Client Engagement and Marketing Support
- Support Account Executives with monthly proposal check-ins, logging all outcomes in Salesforce within 48 hours, and identifying opportunities where additional VIATechnik services align with client goals.
- Create and coordinate Electrical Studio marketing materials including zipper plans, project team maps, and pursuit collateral, and manage event logistics for industry conferences such as NECA, including vendor relationships and budget preparation.
Pipeline Integrity and Operations Coordination
- Maintain the Electrical Studio's win log in real time and set proactive reminders for all proposal due dates and key milestones, serving as the system of record in a remote, high-volume environment.
- Establish a consistent monthly cadence for outstanding proposal follow-up across all active opportunities, with outcomes logged in Salesforce within 48 hours of each client touchpoint.

Compensation and featured benefits:
- The pay for this position is $65,000 – $80,000, and the role is eligible for bonuses. The actual salary offer may be different as we carefully consider a wide range of factors, including your skills, qualifications, location, and experience
- Health insurance with the choice of five plan options. We cover 70-95% of premiums for VIATechies and 65% of the premiums for dependents (depending on the plan chosen)
